Lynq Privacy Policy

This Privacy Policy explains how Aron Y Rakoszynski, operating the Lynq service ("Lynq," "we," "us," or "our"), collects, uses, stores, and protects information when companies and their authorized users use the Lynq portal, Outlook add-in, and related services.

For SMS campaign registration and text-message disclosures, the registered brand name is Aron Y Rakoszynski.

1. Who This Policy Applies To

This policy applies to:

  • Company customers that use Lynq to manage commercial real estate risk, insurance, claims, lawsuits, documents, emails, tasks, messages, calendar items, and related records.
  • Authorized users of those company accounts, including admins, managers, employees, and read-only users.
  • Visitors who access Lynq websites, subdomains, login pages, or support materials.

Lynq is intended for business use. It is not intended for children or personal consumer record keeping.

2. Information We Collect

Lynq may collect and process the following categories of information.

Account And Identity Information

  • Name
  • Business email address
  • Mobile phone number, if a user chooses to enable SMS deadline reminders
  • Microsoft Entra ID tenant ID
  • Microsoft user object ID
  • Lynq role and permissions
  • Login and session information

Company And Business Record Information

  • Company tenant name, domain/subdomain, and branding settings
  • Property, policy, claim, lawsuit, acquisition, proposal, and related record data
  • Tasks, assignments, deadlines, calendar items, messages, comments, notes, and audit history
  • Imported and uploaded files, including documents, emails, attachments, and metadata

Microsoft 365 And Outlook Information

When a company enables Microsoft 365 features, Lynq may process:

  • Microsoft profile information needed for login
  • Outlook emails selected by users for import
  • Email conversation metadata, bodies, attachments, sender/recipient information, and timestamps
  • Outlook calendar events created from Lynq calendar items
  • Mailbox updates needed to keep imported conversations current, when Outlook sync is enabled

Lynq does not use Microsoft 365 data for advertising.

Technical And Security Information

  • IP address and browser/device information
  • Authentication and authorization logs
  • API request metadata
  • Error, performance, and diagnostic logs
  • Security, audit, and administrative activity

3. How We Use Information

Lynq uses information to:

  • Provide, secure, and operate the Lynq portal and related services.
  • Authenticate users through Microsoft 365.
  • Enforce tenant isolation, role-based permissions, and admin controls.
  • Store and organize company risk records, files, emails, tasks, and calendar items.
  • Send email notifications for assignments and calendar items when configured.
  • Send optional SMS deadline reminder text messages when a user opts in.
  • Sync selected Outlook conversations and calendar items when authorized by the customer.
  • Generate exports, reports, audit logs, and operational records.
  • Troubleshoot issues, monitor reliability, prevent abuse, and improve the service.
  • Comply with legal, contractual, security, and accounting obligations.

SMS Deadline Reminders

Users may choose to receive SMS deadline reminders from Aron Y Rakoszynski through the Lynq service for selected deadline categories. Message frequency is up to 1 message per week. Message and data rates may apply. Users can reply STOP to cancel SMS messages or HELP for help.

SMS opt-in is optional and is not required to use Lynq. Aron Y Rakoszynski and Lynq do not sell mobile phone numbers or SMS opt-in data. Aron Y Rakoszynski and Lynq do not share mobile phone numbers or SMS opt-in data with third parties for their own marketing. We may share SMS information only with service providers needed to deliver, operate, secure, and support the SMS feature.

4. How We Share Information

Lynq does not sell customer data.

We may share or disclose information only as needed with:

  • The company customer and its authorized users.
  • Service providers used to operate Lynq, such as cloud hosting, database, storage, email, logging, monitoring, and security providers.
  • Microsoft services, when Microsoft 365 login, Outlook import, Outlook sync, calendar sync, or email sending is used.
  • Professional advisors, auditors, insurers, or legal representatives.
  • Government, regulatory, or legal authorities if required by law or necessary to protect rights, safety, or security.
  • A successor entity if Lynq or its business assets are merged, acquired, reorganized, or transferred, subject to appropriate confidentiality protections.

5. Customer Data Ownership And Tenant Isolation

Each company customer controls the business data it places in Lynq.

Lynq is built with company tenant separation. Users should only access records, files, emails, messages, tasks, and settings belonging to their own company tenant, subject to their role and permissions.

Platform administrators may access tenant configuration and operational information as needed to support, secure, maintain, and troubleshoot the service.

6. Microsoft 365 Permissions

Lynq uses Microsoft permissions only for enabled features.

Examples include:

  • Signing users in and reading basic profile information.
  • Importing Outlook emails selected by users.
  • Sending replies or forwards from a connected mailbox when a user chooses that action.
  • Creating Outlook calendar events for selected users when calendar sync is enabled.
  • Monitoring imported Outlook conversations for updates when the company enables automatic sync.

Company administrators are responsible for granting and managing Microsoft consent for their tenant. Some Microsoft integrations may require admin consent.

7. Data Storage And Security

Lynq uses technical and administrative safeguards designed to protect customer data, including:

  • Microsoft Entra ID authentication
  • Role-based access controls
  • Tenant-scoped API authorization
  • Private Azure Blob Storage for uploaded files and email originals
  • Azure PostgreSQL for application records
  • Audit logs for important administrative and record activity
  • Encrypted transport using HTTPS/TLS
  • Secrets stored outside the source code repository
  • Backup and recovery procedures

No system can guarantee perfect security. Customers should use strong Microsoft account security, appropriate role assignments, and timely user offboarding.

8. Data Retention

Lynq retains customer data while the customer account is active and as needed to provide the service, comply with law, resolve disputes, enforce agreements, maintain backups, and support recovery.

9. Data Deletion And Export

Authorized company admins may export certain records and request deletion or return of customer data, subject to legal, security, backup, and operational limits.

Deleted records may remain temporarily in trash, logs, backups, or archival systems before final deletion according to the Data Retention Policy.

10. Cookies And Local Storage

Lynq may use browser storage, cookies, or similar technologies for:

  • Authentication state
  • User settings
  • Microsoft sign-in flows
  • App preferences
  • Security and session management

Disabling browser storage may prevent Lynq from working correctly.

11. International Access

Lynq is operated primarily from the United States. Users who access Lynq from other locations understand that their information may be processed in the United States or other regions where service providers operate.

12. Changes To This Policy

We may update this Privacy Policy from time to time. The updated version will be identified by its updated effective date or last updated date. Continued use of Lynq after an update means the updated policy applies.
